This is a part time potential for full time position, located in Benicia California, pay dependent on experience. Applicants should be dog friendly as there are two office dogs who frequent the Benicia office. We are looking for a dynamic Executive Administrative Assistant to step into a fast paced office and hit the ground running. This role is the perfect fit for a very strong multi-tasker with excellent communications skills and an amazing attention to detail. Job Description:
Answer all incoming calls to the main line and route as appropriate
Greet visitors to office and announce their arrival to appropriate person
Maintain executive staff calendar(s) and scheduling
Arranges complex and detailed travel plans and itineraries for executive staff
Administrative support for Executive Staff members
Oversee and sign off on all shipment & courier deliveries daily
Distribute office mail and shipments/packages daily
Check and distribute all incoming office faxes from main fax machine daily
Order all office and kitchen supplies
Perform basic filing on a daily and weekly schedule
Upkeep of general conference room scheduling, set up and clean up
Provide documentation support for accuracy, formatting and branding
Assist with the setup and production of new courses and programs
Provide Back-up support to Course Registrar as needed
Assist Sales & Marketing with shipping and production needs
Assist in event planning as needed.
Responsible for production and delivery of course materials (include all materials, documentation, database management, printing, rosters, binding, manuals, shipping)
SKILLS REQUIRED:
Intermediate Desktop publishing
Strong Communication Skills (written, verbal, speaking)
High level of flexibility and multi-tasking skills
Strong Microsoft Word, Excel, Outlook and Powerpoint
General Database management (Salesforce.com a plus)
